Room Reservation Policy

Affiliated students may reserve rooms controlled by departments and programs in the Division of the Social Sciences. Generally speaking, priority will be given to divisional or departmental-sponsored events, academic events (e.g., classes*, office hours, or dissertation defenses), and public-facing outreach events (e.g., conferences), although departments and programs may have their own scheduling priorities for specific spaces. Room reservations must fall within building operating hours unless otherwise noted. If possible, reservations should be made at least a week in advance; note that some rooms must be scheduled much further in advance. If the booking is for Union business, please use this request form from UChicagoGRAD. *Not all spaces can be reserved as instructional space; regular classroom assignments are handled through the Registrar’s Office.

To reserve the space, students must contact the appropriate staff member with the following information:

  1. Name and email of the person leading the event
  2. Title of the event
  3. Description of event
  4. Date of event
  5. Start and end time(s) of the event
  6. Estimated number attendees
  7. Preferred room
  8. If there will be any food served
