Registration Procedures
Autumn quarter registration is Wednesday, September 23 - Friday, September 25.
Students should see their department administrator to pickup a green registration card. Students should verify that the pre-printed information on the card is correct. They should then select their courses and have either the department administrator or their advisor sign the card.
After selecting courses and having the card signed, students should bring the card to the Dean of Students office in Foster Hall, room 107 to complete their registration.
Residence Status
Students in PhD programs are assigned to a residence status correlating to their year of study.
The following information is not comprehensive, but rather provides a basic pattern of how the residence system works.
During the first four years of study PhD students are in Scholastic Residence. Scholastic Residence is a full-time registration and requires students to register for at least one course Autumn, Winter, and Spring quarters.
PhD students are in Advanced Residence during approximately years 5 to 12, depending upon leaves of absence, etc. Advanced Residence is a full-time registration. Students may register for courses while in Advanced Residence, but are not required to do so.
PhD students enter into Extended Residence at the beginning of the thirteenth year following their entry into their PhD program. Extended Residence is NOT a full-time registration. Therefore, students in Extended Residence are not eligible for loan deferments, additional student loans, or health insurance coverage through the university. Students in Extended Residence have access to the library, faculty, email, and the electronic network.
Additional information on the Residence System is in the Student Manual.
Insurance Requirements
Health insurance is required for students. Students must enroll in the University of Chicago Student Health Insurance Plan (U-SHIP) or waive enrollment by providing evidence of coverage in a health insurance plan comparable to U-SHIP.
Students must select either the Basic or Prescription Advantage plan by Friday, October 9, 2009. Students who do not choose or waive a plan will automatically be enrolled in the Basic plan and billed by the Bursar.
Students must complete the selection or waiver process each year.
Students who are enrolled in a U-SHIP plan are billed for insurance coverage three consecutive quarters. These premiums pay for four quarters of coverage.
Billing, Loans, and Work Study
The Bursar’s office handles student billing for the University. The Bursar’s office is located on the first floor of the administration building at 58th and Ellis, across the street from the Barnes & Noble bookstore. They’re open 9:00 am to 3:00 pm Monday through Friday.
The first autumn bill will be mailed August 24 and is due September 18. Your bill will be sent to your current address in cMore. Please update and verify your contact information in cMore).
If your bill is not paid by the due date, you will be charged a $50 Late Payment Fee and issued another bill. If the second bill is not paid by the due date you will be charged an additional $100 Late Payment Fee.
If you receive a bill and it does not show all of the aid you expected, please contact Jackie Hill at jdixon@uchicago.edu, 773.702.8414. However, you must pay the portion of the bill for which you are responsible by the due date or you will be charged a Late Payment Fee.
Additional information regarding billing policies and dates can be found on the Bursar’s Office.
Students who wish to apply for loans and/or work study should complete the loan application on the University’s Student Loan Administration.

Candidacy and Defense
Students are admitted to candidacy once they have completed all course requirements, language requirements, preliminary exams, other program requirements, and have successfully proposed a dissertation project.
Admission to candidacy is recorded on the official transcript, with the date of admission to candidacy.
A student’s residence status does not change once they are admitted to candidacy. A student enters Advanced Residence at the beginning of their 5th year, and Extended Residence at the beginning of their 13th year, whether they have been admitted to candidacy or not.
Students should contact their department to schedule their dissertation defense.
Draft copies of the dissertation are due to the dissertation office by 4:30 pm, Wednesday of the 5th week. For Autumn quarter 2009, the draft deadline is Wednesday, October 28, 2009.
Final copies of the dissertation are due to the dissertation office by 4:30 pm, Wednesday of the 8th week. For Autumn quarter 2009, the deadline is Wednesday, November 18, 2009.
Additional information can be found on the Dissertation Office.
Convocation
The deadline to apply to receive a degree at Autumn quarter convocation is Friday, October 2 at 3:00 pm. Students who do not complete the Online Application for Degree via cMore by the deadline will not receive a degree Autumn quarter.
Students may cancel their degree application by contacting their department administrator. Autumn quarter 2009 degree applications must be canceled by Friday, October 30, to avoid the $50 Degree Cancellation Fee. Any students who are removed from the convocation list after that deadline will be assessed the Degree Cancellation Fee at the end of the quarter.
Simply changing the Expected Graduation Date will NOT cancel a degree application. Students must inform their departments that they will not graduate. A new Application for Degree must be completed via cMore at the beginning of the quarter in which the student plans to graduate.
Autumn, Winter, and Summer convocation is held in Rockefeller Chapel. Students are allotted three (winter) or four (autumn and summer) guest tickets. Students requesting additional tickets may contact Brett Baker at 773.702.8414 or bbaker@uchicago.edu to be put on a waiting list for additional tickets.
Spring convocation is held outside on Harper Quadrangle. No guest tickets are required. Seating is plentiful and allotted on a first-come, first-seated basis.
